Foreign Travel Security

International travel has inherent risks. Below are some resources and considerations to enhance your personal safety, cybersecurity, and compliance with export control regulations.

Mobile Applications

Travel planning and safety applications are available on your mobile device. Below are the recommended applications to manage your itinerary, register with the U.S. Department of State, and enhance safety while traveling. 

The University recommends downloading these applications and logging into each before traveling. Click on each of the above for more information and links to Apple App and Google Play stores.

Before Travel

  • Complete a Travel Request in Concur (KUL) or RedCap (KUMC)
  • (KUL only) Ensure you request a loaner laptop and comply with export control regulations by completing the Export Control and Laptop Checkout form. This link was provided in the email notification after completing your travel request. 
  • (KUMC only) Loaner laptops can be requested through ServiceNow.
  • Download and review the Riskline product from your Concur Travel Request.
  • Install and log into the mobile applications listed above.
  • Enroll in Smart Traveler Enrollment Program (STEP)
  • If you take personal electronic devices, remove work and personal information stored on the device and logout of work related applications when not in use. 
  • Ensure all operating systems and antivirus are up to date and firewalls are active on personal devices. 
  • Change passwords before you depart. SANS recommends using long passphrases (e.g. lost-snail-crawl-beach)
  • Ensure you have all required documents and medical vaccinations to enter all of the countries to which you may be traveling.
  • Inform others of your itinerary.
  • Make copies of your passport and other important documents.
  • Notify your bank and credit cards companies of your travel and check currency exchange rates. Be knowledgeable of international transaction fee policies. 
  • If you do not need it, do not take it. Ensure items do not violate any applicable U.S. export laws.
  • Know the local laws and customs.
  • Have a working knowledge of the local language if possible. Have a means to communicate if you do not speak the language or do not have a translator.
  • Keep all medication in original containers.

While Abroad

  • Stay alert and exercise good judgment.
  • Note any suspicious or unsolicited contact. Contact the closest Embassy or Consulate if you feel threatened.
  • Avoid establishing routines, especially on extended stays.
  • If possible, ensure your hotel room has a peephole and a deadbolt lock or chain-and-slide bolt.
  • Minimize the amount of cash you carry and conceal material wealth.
  • Secure valuables in the hotel safe.
  • Deal with reputable vendors, especially in regard to lodging, currency exchange, and transportation.
  • Walk and ride in groups. Do not walk or ride by yourself if possible.
  • Avoid overly crowded areas if possible.
  • While traveling, remember that you are subject to the local laws. Do not make assumptions about what is acceptable.
  • DO NOT photograph government facilities or religious symbols as it is prohibited in many countries.
  • DO NOT take photographs in the vicinity of foreign military bases, buildings, or personnel.

If you are detained or arrested for any reason:

  • Ask to contact the U.S. Embassy or U.S. Consulate.
  • Exercise good judgment and be professional in your demeanor.
  • Stay calm, maintain composure, and do not do anything to provoke the arresting officer.
  • DO NOT admit to anything or volunteer any information.
  • DO NOT sign anything until the document is examined by an attorney or a U.S. Embassy/Consulate representative.
  • DO NOT accept anyone at face value. Request identification from U.S. Embassy/Consulate representatives.

When You Return

  • Return the loaner laptop to KU/KUMC IT. 
  • Change passwords on any accounts and devices that you used.
  • Contact GRS or the FBI if you feel like you were targeted by foreign government officials while abroad.

Travel Apps

AIG Travel Guard covers all business-related employee travel. This is AIG’s informational application and contains your Assistance ID Card, Check-in capability, and Country Reports as examples.

The U.S. State Department manages the Smart Traveler Enrollment Program (STEP) and allows travelers to enroll their trip abroad so the Department of State can accurately and quickly contact them in case of an emergency. University leadership recommends that all travelers enroll in STEP.

Travelers utilizing Concur Booking can utilize KU's Healix platform. Healix is a duty of care platform that alerts both the traveler and the University of localized threats to employees traveling to both domestic and international locations. The Healix application also gives employees the ability to request Emergency Assistance from the University. Healix is monitored by University personnel and is integral to our duty of care program. The KU Policy Number is provided in your Concur Travel Request email notification.

This application links to your Concur account. It allows you to submit a Travel Request, approve Travel Requests, book travel, and change travel.

TripIt is a service provided by the University (KUL only) that links your in-app air carrier booking to Concur. If you prefer booking on the air carrier’s app, this is the tool for you.
