Travel at KU

The One University Travel Program is supported by multiple departments across our campuses. They support you by streamlining the travel approval and booking process, verifying compliance with federal regulations, providing IT support, and ensuring your health and safety.

Travel request process

The travel request process includes workflow that, at minimum, requires your HR-assigned supervisor's approval. If you are traveling internationally, your request will be reviewed by Global Risk and Security for compliance. Note that all international travel, regardless of whether it is internally or externally funded, requires a Travel Request.  

If you are requesting travel to a high-risk location, as determined by the U.S. Department of State and/or the Centers for Disease Control, a Risk Mitigation Form must be completed (linked in sidebar). That form should be attached to your Travel Request. Once it is attached, your request will be routed to a Travel Threat Committee (TTC), who will review and approve or deny the request. The TTC meets on a bi-weekly basis to review travel requests.

Approval of your travel request will begin the process of provisioning a loaner laptop and an Azure Virtual Desktop (AVD) environment to support your work while abroad. Employees can pick up their loaner laptop at Anschutz (KUL) or the IT Help Desk in Delp (KUMC) one week prior to departure date.

Register your travel

Per policy, ​all University employees traveling overnight outside the state of Kansas for official University business must obtain pre-approval for their travel, regardless of funding source. This approval must be completed:

  • ​at least 14 days prior to domestic travel; or
  • ​at least 30 days prior to international travel
